By attending a WSCAI event, you agree to abide by WSCAI’s terms of service, event policy, and code of conduct. Policy language may be updated without notice. Request physcial copies via info@wscai.org.
WSCAI Attendee Anti-Harassment Policy
Adapted from CAI’s Anti-Harassment Policy
Objective & Scope
Objective. WSCAI is committed to a professional environment free from harassment, discrimination, and retaliation in which all individuals are treated with respect and dignity.
Scope. This policy applies to WSCAI employees, members, and volunteers (including board, committee, and task force members) at all WSCAI meetings, conferences, programs, and events.
Equal Opportunity
WSCAI ensures equal opportunity without discrimination or harassment on any protected basis and prohibits all such conduct at WSCAI events.
Harassment Defined (including sexual harassment)
Harassment includes verbal, written, or physical conduct targeting a protected characteristic that (1) creates an intimidating, hostile, or offensive environment, (2) interferes with participation, or (3) otherwise affects an individual’s ability to participate in WSCAI activities.
Sexual harassment includes unwelcome conduct, comments, gestures, or contact of a sexual nature; unwelcome sexual advances; requests for sexual favors; and other verbal or physical conduct of a sexual nature.
Prohibited Conduct
- Harassment or intimidation based on any protected characteristic.
- Sexual harassment or intimidation, including unwelcome sexual attention, stalking, or unsolicited physical contact.
- Harassment, intimidation, or coercion based on a person’s role (e.g., board or committee member).
- Abusive, lewd, threatening, or bullying conduct toward any participant.
- Physical violence or threats of violence.
- Sexually charged communications or conduct.
Suitcasing Policy
No-tolerance: “Suitcasing” refers to non-sponsoring companies or individuals soliciting sales/leads, representing services, or recruiting attendees for conflicting activities without authorization. Non-sponsoring business partners attending as guests or speakers may not solicit business during/after sessions or in the event venue.
Consequences: Violators may be removed from the event and assessed a $2,000 fee, payable before registering for future WSCAI events.
Alcohol Policy
WSCAI Alcohol Policy (Approved 6/14/2025)
- Professional service: Alcohol may only be served by licensed, trained bartenders or catering staff (written exceptions by WSCAI staff only).
- Personal responsibility: Attendees must drink responsibly and behave consistent with WSCAI values and venue rules.
- Right to refuse: Servers must refuse service to anyone appearing intoxicated or unsafe.
- No personal distribution: Attendees may not bring, serve, or distribute alcohol.
- Compliance: All service and consumption must comply with applicable laws and venue regulations.
- Enforcement: Violations may result in removal or future participation restrictions.
Refunds
All event registrations have a 30-day refund policy. No refunds within 30 days of the event. Transfers are welcome. All sponsorships, ads, and marketing are final sale and no refunds can be issued.
Reporting & Enforcement
WSCAI can only act on conduct it knows about. Please report perceived incidents of discrimination, harassment, or retaliation—regardless of the offender’s role.

If you feel safe, you may also advise the offender that their conduct is unwelcome and request they stop.
Investigations: WSCAI will promptly investigate reports, including interviews with parties and witnesses, and will maintain confidentiality to the extent appropriate.
Possible actions:
- Private reprimand
- Removal from the event without refund
- Conditions on future attendance
- Removal as a board/committee member
- Restrictions on future event participation
- Recommendation to CAI for membership revocation
Retaliation: Retaliation for reporting or participating in an investigation is strictly prohibited and will be addressed promptly.
National CAI Reference & Adoption
This WSCAI policy is modeled after CAI’s Anti-Harassment Policy (2018) and supplements, not supersedes, the CAI policy where applicable.
Adopted by WSCAI’s Board of Directors on September 14, 2022.
Liability Waiver
By participating in WSCAI events, all registrants, attendees, volunteers, and non-staff agree to the following:
I, for myself and on behalf of my heirs, successors, and representatives, knowingly and voluntarily waive all rights and claims to hold Washington State Community Associations Institute (WSCAI) liable for any personal injury, property damage, and/or economic and non-economic losses which I may suffer. I also knowingly and voluntarily waive any and all rights and claims that my dependents or their heirs, successors, and representatives may have to hold WSCAI liable for any personal injury, property damage, and/or economic and non-economic losses they may suffer. I grant and convey to WSCAI all right, title, and interest in any and all photographic images made during my activities with WSCAI, including any royalties, proceeds, or other benefits derived from such photographs. I represent that I am authorized to register myself and any representatives of my organization/company for WSCAI events and understand that participation constitutes agreement to this policy and waiver.
